Prerequisites
- Ensure your stock order sheets and stock locations are set up.
- Suppliers must be allocated to your outlet.
- You need permission to use this tool (granted by your Head Office).
- At least one department and purchasing category should be established in your outlet.
Step-by-Step Process
- Access Orders
Open your menu.
Click on Storm.
Select Orders.
- Create a New Order
Click on Add.
Choose the relevant stock location for the items you want to order.
The available items will be listed.
Enter the required quantity for each item. You can do this line by line. Note, some suppliers have a set minimum order value. However, if that minimum order value has been met, any subsequent orders for the same delivery day can be sent without individually needing to meet the minimum value.
Click the plus button to add the item/s.
- Move Between Locations
If needed, switch to different stock locations and repeat the above step to add more quantities.
- Review Selected Products
Click on Review Selected Products.
Items will be organised by supplier.
- Add More Products
To add additional items, click on Add Products.
Choose your stock location from the dropdown.
Specify quantities for new items.
- For a single item, click the plus button.
- For multiple items, enter them and click on Add Items at the bottom of the page.
- Click on Add non catalogue item to add an item not listed in the supplier catalogue. Complete the mandatory fields, marked with a red star and click on the Add Non Catalogue Item button
- Edit Item Details
Click on any item with a hyperlink to:
- Add notes for the supplier.
- Change quantities.
- Click on the X to delete the item from the order.
- Set Delivery Date and Comments
Select your delivery date from the dropdown.
Optionally, add a comment in the provided box.
- Place the Order
Choose to confirm orders:
- Individually: Click on Confirm for each supplier.
- All together: Click on Confirm to send all at once.
- Hold Orders (if needed)
If you want to hold an order, tick the corresponding box. This can be released later.
- Check Order Status
Orders will appear on your dashboard with a status of P.O. sent. If it fails the status will say PO Failed
If you have placed an order on hold, it will be indicated on the dashboard.
- Release Held Orders
To release an order, click Release and confirm by selecting Yes or No.
- Copy Existing Orders
To create a new order from a previous one:
- Click on the order number in the dashboard.
- Select Copy Order.
- Make any necessary changes (add, delete, or change quantities).
- Set the delivery date, add comments, and confirm the order.
- Order Completion
Once the order is delivered, it will need to be booked off (details to be covered in a different guide).
