Introduction
This tool is useful for suppliers to load invoices against orders placed by their customers via IndiCater
Assumption
You will need to have access to the Supplier Portal

Step by Step Guide
Log into the supplier portal
From the menu bar click on Invoices
You have the option to Download or Upload a template
If you don't have the template click on Download Invoice Template. This will generate a CSV file with all the necessary column headings, which should not be changed. Complete it and save it to your local drive (save it as a CSV file). Guidance for completing the template is at the bottom of this guide.
Now click on Upload
Select your Customer from the Customer dropdown
Select the Catalogue from the Catalogue dropdown
Click on Select Invoice File button and attach the file
The details will be visible on the screen and if they match the order ticks will show against the items in the CSV Row column, and you will be able to click on the Confirm button. A message will pop up on the screen advising that the invoices have been loaded.
If errors are detected you will get a warning similar to the example below. If you hover over the red cross on each line you will be shown an explanation as to why the error has occured.
You can check the details on each line, using the scroll bar at the bottom to see the all the details on the line.
If you need to you can cancel the upload by clicking on the Cancel button.
Once confirmed the invoice will show in the customers purchasing area in IndiCater.
Please note, if you have made amendments and the invoice value differs to the order value the invoice will most likely go for approval by the customer (most of our customers have a tolerance value set which requires the invoice to be approved if outside of the tolerance value, but not all).
Completing the template
These guidelines must be followed when completing the template:
You should enter a line for each product on the invoice.
The invoice number has to be unique for each invoice.
The purchase order number has to be unique for each ivoice. If you do not have a unique purchase order number for each invoice, please enter the invoice number in both the invoice and purchase order column.
You should create a different file for each client. Multiple outlets/sites within that client can be added to the same file.
