Introduction
This guide explains the Outstanding Orders pop-up and how to set it up. When someone starts a new order at an outlet that has orders which were due to be delivered today or earlier and have not been booked off, the pop-up tells them how many there are. Head Office chooses, outlet by outlet, whether the pop-up is switched on and whether it stops new orders until the outstanding orders have been booked off.
Assumptions
- You are a Head Office user with access to Outlet Access > Set Up.
- Your outlets place orders with suppliers through IndiCater and book them off when the goods arrive.
Where to find this
To choose the setting: Head Office > Outlet Access > Set Up > Outstanding Orders Pop-up
To see the pop-up: from within an outlet, go to StORM > Orders. It also appears when you start an order from one of the other ordering pages, such as adding items to an order or suggested orders.
Step-by-Step guide
The three settings
Every outlet has one of these settings. New outlets start on Off.
- Off: no pop-up.
- Warn: the pop-up is shown, but the order can still go ahead.
- Block: the pop-up is shown and new orders are stopped until the outstanding orders are booked off.
Choosing the setting for your outlets
Go to Head Office > Outlet Access > Set Up and click Outstanding Orders Pop-up, under Outlets (Setup and Configuration).
The page lists your outlets with the setting each one has now, under Current setting. Use All, Off, Warn and Block above the list to show only the outlets with that setting. The number beside each one is how many outlets it holds.
Tick the outlets you want to change. You can change one outlet, several, or all of them in one go. Next to Set to, choose Off, Warn or Block, then click Apply to selected. The button shows how many outlets are ticked, for example Apply to selected (1).
When the setting has been saved you will see Outstanding orders pop-up setting saved. The new setting takes effect the next time someone opens an ordering page at that outlet.
If you click Apply to selected without ticking an outlet, you will see Select at least one outlet, or use Apply to all outlets. If the setting can't be saved you will see The setting could not be saved. Please try again.
Changing every outlet at once
Choose the setting next to Set to, then click Apply to all outlets. IndiCater asks you to confirm before it changes anything. The change applies to every open outlet in the company. Closed outlets and training units are not changed. Click Cancel if you don't want to go ahead.
What users see when the setting is Warn
When someone opens the Orders page, or starts an order, at an outlet set to Warn and the outlet has orders that were due today or earlier and have not been booked off, an Orders outstanding pop-up appears. It says how many orders there are and splits them into:
- Overdue (before today): orders due for delivery before today.
- Due today: orders due for delivery today.
- Total outstanding: the two added together.
Click Review orders to go straight to the outlet's list of orders to book off, or click Continue (or the cross) to carry on with the order. The pop-up is shown once for each outlet each time you sign in, so it won't keep interrupting you while you work. If there are no outstanding orders, no pop-up appears.
What users see when the setting is Block
At an outlet set to Block the same pop-up appears, but there is no Continue button and it can't be closed. The only way on is Review orders. The pop-up appears every time someone opens an ordering page at that outlet, until the outstanding orders have been booked off. Once they have, new orders can be placed as normal.
Booking off the outstanding orders
Click Review orders to open the outlet's list of orders waiting to be booked off. For how to book them off, see Booking Off Orders (Goods Receipted).
